General

  1. County Sports Partnership Network (CSP Network) Workplace Challenge is funded by Sport England and delivered by CSPs together with the British Heart Foundation (BHF).
  2. CSP Network Workplace Challenge is independently evaluated by the School of Sport Exercise & Health Sciences at Loughborough University.
  3. The Challenge is open to people aged 16 or over who are employed at workplaces based within participating County Sports Partnership (CSP) areas. To check if your workplace is in an area with a participating CSP please enter your workplace post code using the 'Find your workplace' function or click on the map at www.workplacechallenge.org.uk
  4. By registering or by completing the registration form on the website, registrants confirm that they have read and agree to be bound by these terms and conditions.

Participants’ health and safety

  1. Before taking part in sport and physical activity participants should; Prepare and train properly for their activity, warm up and cool down properly before and after an event, seek medical advice if they have any doubts about their ability to take part in any activity, take particular care if they are undertaking intensive physical activity of a type, or at a level, which is new to them, always be aware of the safety of other participants, spectators and the general public.
  2. CSP Network recommend that participants who are planning to become more physically active than they are now should complete a Physical Activity Readiness Questionnaire (https://www.nasm.org/docs/default-source/PDF/nasm_par-q-(pdf-21k).pdf) and if required seek medical advice before commencing an exercise programme.
  3. All participants take part in the CSP Network Workplace Challenge at their own risk. All participants must ensure that the bicycles/ or any other sports equipment they ride/ use are in a roadworthy condition/ safe and must observe the rules of the Highway Code/ or meet recognised safety standards for the chosen sport/ activity. All participants must ensure that they follow good/ safe practice and wear relevant protective clothing for any sport or physical activity they choose to participate in.
  4. Neither the project partners or any sponsors or promoters of the CSP Network Workplace Challenge accept responsibility for any incident, accident or injury sustained or property damaged in the course of anyone's participation in the Challenge.

Registration

  1. Registration is free via the CSP Network Workplace Challenge website www.workplacechallenge.org.uk.
  2. To register an organisation you must have approval from your organisation's management to do so.
  3. An organisation is defined as a body that employs people i.e. not a club or group of friends.
  4. Upon registration, an organisation or department will be classified as an organisation of staff employed by the registered organisation or department.
  5. Organisations and departments with 1 or 2 employees can register into the Challenge. Team members will be eligible to win spot prizes, but the organisation will not be eligible to win an organisation prize.
  6. Once an organisation is registered, individuals from that organisation or department may register as part of that organisation.

Business Registration

  1. Company Administrators confirm that as part of the application on behalf of their business they have authority to act on behalf of their business to register the company and invite employees to join the Workplace Challenge.
  2. Company Administrators confirm they are the main point of contact for Workplace Challenge at their company
  3. Company Administrators agree to inform Workplace Challenge of any changes regarding the point of contact and company structure.
  4. The employer/ business of Company Administrators agrees to pay the fee of £150+VAT by invoice. This fee includes a consultation with the businesses local County Sports Partnership together with the items outlined on the Business Registration page.

Activity Log

  1. Participants will gain points for each of the activities logged on the website or app.
  2. The 2018 Active Workplace National Activity Log Challenge will run from 00:01 on Monday 8th January to 23:59 on Sunday 4th March 2018.
  3. Only points scored/ activity logged during the above period will count for the National Workplace Challenge.
  4. CSP Network reserve the right to check the authenticity of points logged for the CSPN Workplace Challenge.
  5. Points cannot be logged for activity performed as part of your work i.e. a teacher cannot log PE lessons or a coach cannot include contracted coaching (only voluntary). Users can however track daily activity such as steps which may be accumulated throughout the working day.
  6. Individuals must be employed by a business to have their points assigned to that business.
  7. A valid activity for diary entry is defined as a participant who takes part in sport or physical activity and logs the activity on the Workplace Challenge website.
  8. A valid active travel trip is defined as a participant making a journey for transport purposes by means of physical activity e.g. walking, jogging, running or cycling. Active travel trips do not include use of motorcycles, scooters or stationary cycles.
  9. Active travel trips and activity must occur within the National Workplace Challenge period to contribute to the organisation's results as part of this challenge.
  10. Active travel trips and activity must be logged via www.workplacechallenge.org.uk. If activity and trips are not logged in this way, they cannot contribute to the organisation's results.
  11. Organisations and individuals may continue to log activity and utilise the site throughout the year including the option to participate in local CSP challenges, Competition Programme and Business Games events.
  12. CSP Network Workplace Challenge shall not be held responsible for any late, incomplete, corrupted or incorrect registrations as a result of any software or hardware failure, postal delay or otherwise.

Prizes

  1. Any prizes relating to the CSP Network Workplace Challenge exclude the employees and their immediate families of CSP Network, Sport England, BHF, BHFNC, CSPs their partners, agents or anyone professionally connected with this promotion.
  2. CSP Network Workplace Challenge reserves the right to withdraw, reallocate or substitute any prizes for a prize of an equal or greater value where the promoters deem it necessary.
  3. CSP Network Workplace Challenge's decision is final and binding and no correspondence shall be entered into.

Spot Prizes

  1. The spot prize draw is for CSP Network Workplace Challenge registrants who have logged at least one ten minute activity or one mile active travel trip within the Challenge period.
  2. The prize winners may be required to participate in publicity and promotional activities.
  3. CSP Network Workplace Challenge's decision is final and binding and no correspondence shall be entered into.

Workplace Prizes

  1. At the end of the Challenge period the Workplaces in first position may be requested to provide a letter from their organisation's HR department or a senior manager, to confirm the exact number of staff that are employed in the winning organisation or department.
  2. Prizes will be awarded for the:
    1. Workplace in first place on the 'workplaces' leaderboard - average activity points (minimum of 3 people per organisation)
    2. Workplace in first place on the 'workplaces' leaderboard - total activity points (minimum of 3 people per organisation)
  3. The organisations in first, second and third place will be awarded an CSP Network Workplace Challenge certificate.
  4. Where two or more organisations/ departments achieve an equal highest participation (derived from diary entries for physical activity and active travel) the winning organisation will be decided upon which one has achieved the highest percentage of employees participating in the Challenge.
  5. The winning organisations and departments will be announced via email and published at www.workplacechallenge.org.uk on Monday 5th March 2018. Winners' details will be made available for a period of six weeks from the end of the Challenge period.
  6. The prize winners may be required to participate in publicity and promotional activities.
  7. CSP Network Workplace Challenge's decision is final and binding and no correspondence shall be entered into.

Individual Prizes

  1. Prizes will be awarded for the:
    1. Male in first place on the 'individuals' leaderboard.
    2. Female in first place on the 'individuals' leaderboard.
  2. The individuals in first, second and third place will be awarded an CSP Network Workplace Challenge certificate.
  3. The winning individuals will be announced via email and published at www.workplacechallenge.org.uk on Monday 5th March 2018. Winners details will be made available for a period of six weeks from the end of the CSP Network Workplace Challenge award period.
  4. The prize winners may be required to participate in publicity and promotional activities.
  5. CSP Network Workplace Challenge's decision is final and binding and no correspondence shall be entered into.

Data Protection Statement

  1. Participants' information will be held by CSP Network and its partners of the Workplace Challenge (CSPs, BHF and BHFNC) in accordance with the Data Protection Act 1998.
  2. Data collected will be used by CSP Network Workplace Challenge to monitor and evaluate the programme and to demonstrate the impact the programme has had on participants and workplaces.
  3. Users can amend personal information stored on the CSP Network Workplace Challenge website and edit privacy settings and information displayed about them (on WPC and in search engines) in the privacy section which can be accessed by clicking on the 'profile', 'workplace' and 'privacy' buttons in the dashboard.
  4. The evaluation of the Workplace Challenge which is being conducted by BHFNC has received approval from Loughborough University Ethical Advisory Committee.
  5. Participants will be invited to take part in the evaluation of the Workplace Challenge to help demonstrate the impact of the project. Opting out of the evaluation will not prevent participants from taking part in the Challenge.
  6. Data will only be transferred to the evaluation team at BHFNC if the participant has given consent for their participation in the evaluation. All evaluation data and survey responses will be provided to the BHFNC without any identifying information (i.e. participant names).
  7. CSP Network Workplace Challenge, participants respective CSPs (e.g. participants from Leicestershire will be provided information from Leicester-Shire & Rutland Sport), BHF, and BHFNC will use the personal information submitted on registration to provide further information or services relating to the CSP Network Workplace Challenge programme, CSP Network programmes, CSP programmes and activities, BHF Health at Work programme/ activities/ events and BHFNC opportunities to be involved in the evaluation of the CSP Network Workplace Challenge. The personal data used will include name, email address and other supplied information.
  8. Participation information and other data provided by participants may be shared with the participants workplace/ company.
  9. Participants can opt out of receiving communications from CSP Network Workplace Challenge at any time.
  10. CSP Network Workplace Challenge may intentionally make available personal information to third parties.
  11. If you are taking part in the CSP Network Workplace Challenge, you consent to the use of your image in any TV and other media coverage of the CSP Network Workplace Challenge and in CSP and BHF promotional materials.
  12. By submitting the registration form you agree that the information provided on the form can be held by CSP Network, your respective CSP, BHF and BHFNC. Your information will be used by CSP Network, your respective CSP, BHF and BHFNC for research purposes and to inform you of CSP Network, CSP and BHF promotions taking place. Please tick the box at the end of the declaration if you do not wish to receive information about sport and physical activity opportunities from CSP Network and the project partners mentioned above.
  13. By connecting the Workplace Challenge account to other apps or wearables (e.g. fitibit), users agree for data tracked by other apps to update their Workplace Challenge account and agree to the terms and conditions of other apps and wearables.
  14. Workplace Challenge data is provided to the data hub where it will be used anonymously to help CSP Network and CSPs to identify trends and use insight in relation to the development and delivery of sport and physical activity.
  15. CSP Network may delete user accounts where users haven't logged in for at least 12 months and haven't logged/ tracked any activity for at least 12 months.

  2. Alternatively, you can click on the 'unsubscribe' link on any email communication received.
